Position Summary
We are seeking a highly organized and proactive Service Coordinator to join our team. This role is crucial in ensuring the smooth scheduling, dispatch, and communication between our field technicians and clients. The ideal candidate is detail-oriented, can manage multiple priorities, and thrives in a fast-paced environment.
Key Responsibilities
- Schedule and dispatch pool technicians for routine maintenance, emergency service calls, and special projects using ServiceM8 software.
- Act as the primary point of contact for clients, providing timely updates on service requests, job progress, and maintenance schedules.
- Maintain accurate service records, ensuring all jobs are logged, tracked, and completed according to client contracts.
- Monitor inventory levels and coordinate the ordering of parts and supplies needed for repairs and maintenance.
- Process work orders, invoices, and technician reports to ensure smooth operations.
- Handle client inquiries, complaints, and follow-ups, ensuring high levels of customer satisfaction.
- Assist in tracking preventative maintenance schedules for commercial pools and sending automated reminders to clients.
- Support the implementation of company Standard Operating Procedures (SOPs) to ensure consistent service quality.
Required Qualifications
- Prior experience in service coordination, scheduling, or dispatching preferred (pool industry experience is a plus).
- Strong organizational and multitasking skills with the ability to prioritize tasks efficiently.
- Proficiency in ServiceM8 or similar field service management software (training available).
- Excellent verbal and written communication skills for client and technician interactions.
- Basic knowledge of commercial pool equipment and maintenance schedules is a plus but not required.
- Comfortable working in a fast-paced environment where quick decision-making is essential.
- Proficiency with technology, including spreadsheets, scheduling software, and CRM tools.
- Problem-solving mindset and ability to work independently while maintaining a team-oriented approach.
Work Schedule & Compensation
- Full-time position, Monday–Friday (occasional weekend on-call may be required).
